Every online payment you take through Bookiphy has two parts: Bookiphy's flat platform fee of 2.1%, and a standard Stripe processing fee. The Stripe fee varies depending on how the parent pays (for example, the type of card they use), so the total cost per transaction is the 2.1% plus whatever Stripe charges for that payment method.

Bookiphy is powered by Stripe, the payment processor that securely moves money from the parent's card into your own account. Stripe charges its own processing fee for that service, and Bookiphy charges a separate flat 2.1% platform fee for running the bookings, subscriptions, registers and automation around it. Keeping the two separate means you always see exactly what you're paying — and to whom.

Stripe's fees depend on the payment method used, so they're set by Stripe rather than by us. As a guide, standard UK cards are typically charged a small percentage plus a fixed pence amount per transaction, with different rates for premium, European and international cards. No. Our 2.1% platform fee only applies to the payments you process, with no setup fees, no monthly platform charges, and no extra fees as your club grows. Stripe likewise has no setup or monthly fees on its standard pricing. So your only cost per payment is the flat 2.1% plus the relevant Stripe processing fee — nothing more.

With bookiphy, you can choose to receive payments online or offline. Our system automatically generates and collects payments through subscriptions, so you won't have to chase after payments. Failed online payments are automatically retried. All of these transactions and more are always visible on your dashboard, your one-stop-shop for all things transactions. You can also choose to enable immediate payment of your invoices or accept offline payment options like bank transfers, vouchers, coupons or cash.

Our user-friendly booking software makes it easy for parents to schedule trial sessions. You simply need to specify the number of trial sessions available, tell the system if those sessions are free or paid, and set the booking window etc. From there, our system handles the entire booking process seamlessly for you.

The system automatically manages occupancy for you. When a class is full, parents can join a waiting list. This helps you keep track of who’s interested, so you can offer a spot as soon as one becomes available. Parents will get an email to confirm or decline the booking invitation from bookiphy.

Subscriptions ensure that your invoices are paid on time, every time. The system automatically retries failed payments and alerts you about such transactions on your dashboard. A booking is confirmed only if a payment is made successfully. In other words, a payment needs to come through to guarantee a booking.

Our system allows for easy customization of registration and booking forms to fit your specific needs. This flexibility ensures that the forms align with your requirements. All information is automatically integrated into the registers, updating booking and payment details. You can include your club's terms and conditions, as well as booking and payment terms for transparency. Parents and members signing up can digitally sign the forms, and their consents can be kept as digital signatures, which is useful for record-keeping.

Bookiphy's data is securely stored in the cloud and hosted on AWS secure servers in London, United Kingdom. This means that your information is stored locally and complies with UK/EU GDPR and international data protection laws. You own your data. For parents or members accessing Bookiphy, access is provided and managed by the club or academy. Apart from the club's authorized staff, only you can see and access your data. No one else can access this information without express consent from the centre admin, parents, or guardians. All account passwords, data at rest, and data in transit are encrypted for additional security. With bookiphy, there are no 18-month or longer-term multi-year contracts. You can choose from our monthly or annual plans. You can cancel your subscription plan at any time. Cancel anytime means once you cancel and we have processed your cancellation request, your subscription will not auto-renew. For more information, please see our subscriptions policy.
